Getting started checklist for your first event
The order to set things up in, from connecting Stripe to scanning your first ticket at the door.
Who can do this: Owners and admins can do every step. Managers can do the event steps but cannot open Settings.
Before you start
- Create your company account.
Part 1Set up your company in Settings
Do these once. They apply to every event you run.
- 1Click Settings in the sidebar.
- 2Click Connect Stripe under Getting paid and finish Stripe's questions. Wait until Charges enabled shows Yes.
- 3Scroll to Terms and privacy policy. Add your buyer terms, including your refund policy, and click Save policies.
- 4Scroll to Fee pass-through and tax. Choose who pays the fees, set your sales tax rate if you charge one, and click Save fee settings.
- 5Scroll to Company profile. Fill in your Support email and Mailing address, then click Save profile.
- 6Scroll to Event page branding. Upload your Logo, choose your colors, and click Save branding.
Part 2Build and publish your event
- 1Click Events in the sidebar, then click New event.
- 2Fill in Event title, Starts and Ends, then click Create event.
- 3Find Ticket types on the event page and click Add ticket type. Add one for each kind of ticket you sell.
- 4Look at the What a buyer pays box on the right to check the total a buyer will see.
- 5Click Publish event at the top right of the event page.
- 6Click View public page to see your event the way buyers see it.
An event cannot be published until it has at least one ticket type and your terms and conditions are saved.
Part 3Make a test purchase
Ticket-Worx has no practice mode, so a test order is a real order. Buy the cheapest ticket with your own card.
- 1Open your public event page and choose one ticket.
- 2Go through checkout the way a buyer would, including agreeing to your terms and signing.
- 3Check that the ticket email arrives.
- 4Click Orders in the sidebar and confirm the order is there.
- 5Refund the order if you do not want to keep it.
The Ticket-Worx platform fee is not returned when you refund a buyer. To test without paying, create a comp code under Discount and comp codes on the event page and use it at checkout. A free order skips the card step, so it does not test your Stripe connection.
Part 4Get your doors and staff ready
- 1Click Settings in the sidebar and scroll to Team. Add a login for each box office seller and door person.
- 2Click Door in the sidebar.
- 3Click Set up scanning devices to prepare the phones or handhelds your door staff will use.
- 4Scan your test ticket to make sure it checks in.
Tips
- Connect Stripe first. Stripe sometimes needs a day or two to verify your details, and you can build your event while you wait.
- Publishing does not check your Stripe connection. Confirm Charges enabled shows Yes in Settings before you share your event link.
- You can add marketing tags, discount codes and a seating chart later. None of them are needed to start selling.
If something goes wrong
Publishing fails with "Add at least one ticket type before publishing this event."
Click Add ticket type under Ticket types, save at least one ticket, then click Publish event again.
Publishing fails with "Add your terms and conditions in Settings (or on this event) before publishing."
Click Settings, scroll to Terms and privacy policy, fill in Terms and conditions, and click Save policies. Then publish again.
A buyer sees "This organizer cannot accept payments yet. Please try again later."
Your Stripe account is not ready to take cards. Click Settings and finish Stripe setup under Getting paid until Charges enabled shows Yes.
