Publish and share your event
Put your event on sale with one click, find the public link to share, and close sales or cancel when you need to.
Who can do this: Owners, admins and managers.
Before you start
- Add at least one ticket type.
- Add your terms and conditions under Settings, in Terms and privacy policy, or on the event under Event terms and conditions. Buyers must agree to them to check out.
- Connect Stripe under Settings, in Getting paid, so buyers can pay by card. Publishing is not blocked without it, but paid checkouts will fail.
Part 1Publish the event
- 1Click Events in the sidebar, then click the name of your event.
- 2Click Publish event at the top right.
- 3Check that the badge at the top right now shows PUBLISHED.
- 4Click View public page to open your live event page in a new tab.
If something is missing, a red message appears under the button. The two reasons are "Add at least one ticket type before publishing this event." and "Add your terms and conditions in Settings (or on this event) before publishing. Buyers must agree to them to check out."
Part 2Get the link to share
- 1Open your published event from Events in the sidebar.
- 2Click View public page at the top right. On the Events list, View page at the end of the row does the same.
- 3Copy the web address from your browser's address bar.
- 4Paste it into your website, social posts and emails.
To see which flyer or post sells best, scroll to Marketing links and QR codes on the event page, click New tracking link, then click Copy on the link. Each one comes with its own QR code.
Part 3Close or reopen sales
- 1Open your event from Events in the sidebar.
- 2Click Close sales at the top right to stop online orders.
- 3Check that the badge now shows SALES CLOSED.
- 4Click Reopen sales when you want to start selling again.
With sales closed your page stays visible. Visitors see Tickets are not on sale and "Sales for this event have closed."
Part 4Unpublish, cancel or complete an event
These changes are made with the Status list in the Event details card.
- 1Open your event and find Status in the Event details card.
- 2Choose Draft - not visible to anyone to take the page down while you make changes.
- 3Choose Cancelled if the event will not happen.
- 4Choose Completed after the event is over.
- 5Click Save changes.
The top right button disappears on a cancelled or completed event. To bring the event back, set Status to Published - on sale and click Save changes.
Tips
- Visitors who open the link to a draft see "Tickets are not on sale yet" and nothing about the event, so it is safe to print QR codes before you publish. Signed in team members see the full page with a Draft preview. bar.
- Visitors to a cancelled event see "This event has been cancelled" and are asked to contact your company about tickets they bought. Setting the status to Cancelled does not refund anyone by itself. Refund orders from Orders in the sidebar.
- The box office can keep selling in person after you close online sales. Only published and sales closed events appear on the Box office screen, so drafts, cancelled and completed events cannot be sold there.
- Your event link does not change when you rename the event or move between draft and published.
If something goes wrong
You see "Add at least one ticket type before publishing this event."
Scroll to Ticket types, click Add ticket type, fill in the form, then click Publish event again.
You see "Add your terms and conditions in Settings (or on this event) before publishing."
Click Settings in the sidebar, go to Terms and privacy policy, and click Start from a template or paste your own terms. Click Save policies, then return to the event and click Publish event.
The event is published but buyers see an error when they try to pay.
Messages like "This organizer cannot accept payments yet. Please try again later." mean card payments are not ready. Click Settings in the sidebar and finish the steps under Getting paid.
The page says "The organizer is finishing their setup. Please check back soon."
The event is published but has no terms and conditions, which can happen if your terms were deleted after publishing. Add them again under Settings, in Terms and privacy policy.
