Set up door scanning

Create a door code for your event so staff and volunteers can scan tickets on their own phones, with no account and no app store download.

Who can do this: Owners, admins and managers create and turn off door codes. Door staff need no account to use one.

Before you start

  • Publish the event. Door codes are made per event, and only published events are listed.

Part 1Create a door code

  1. 1Click Door in the dashboard sidebar.
  2. 2Click Set up scanning devices at the top right.
  3. 3Choose the Event under New door code.
  4. 4Type a Name, for example Main entrance.
  5. 5Choose how long it lasts under Works until: 12 hours after the event ends, 24 hours from now or A week after the event ends.
  6. 6Click Create door code. A page opens with a large QR code for your staff.
  7. 7Click Print to print it for the staff table, or leave it on the screen.

One code per event is enough. Make a separate code for each entrance if you want to see scans by gate.

Part 2Pair a phone

The scanner runs in the phone's web browser. There is nothing to download from an app store.

  1. 1Open the phone's camera and point it at the door code.
  2. 2Tap the link that appears. The phone shows your company, the event and the code's name.
  3. 3Type a name in Your name or gate, for example Sam, Gate A. You see this name next to the tickets they check in.
  4. 4Tap Start scanning. The scanner opens, ready for tickets.
  5. 5Tap Stop scanning at the top when the shift is over. This signs the phone out.

Staff can also open the Door page on your Ticket-Worx site (the site address followed by /door) and tap Scan door code. For a handheld with no camera app, open the code's page, click Handheld without a camera app? Open this link on it instead and open that link on the handheld.

Part 3Scan from your own login instead

Team members with the Door, Box office, Manager, Admin or Owner role can scan without a door code.

  1. 1Sign in to the dashboard on the phone.
  2. 2Tap Door in the sidebar.
  3. 3Choose the Event if you have more than one on sale.
  4. 4Tap Scan with camera.

Part 4Turn off a code or sign out a device

  1. 1Click Door in the sidebar, then Set up scanning devices.
  2. 2Scroll to Door codes and devices. Each code lists the devices that joined with it, when they were last active and how many scans they made.
  3. 3Click Sign out next to one device to stop just that phone, for a lost phone or a volunteer who has left.
  4. 4Click Turn off on a code to stop the code and every device that joined with it. This takes effect right away.
  5. 5Click Show or print code to bring an active code back up for more staff.

A code that has run out shows Expired. One you stopped shows Turned off. Neither can be switched back on. Create a new one.

Tips

  • Pair phones while they have good signal, before doors open. The ticket list downloads at that moment, and that is what lets scanning carry on without a connection.
  • Ask staff to add the Door page to their home screen so it opens like an app. On iPhone use Share, then Add to Home Screen. On Android use the menu, then Install app.
  • Anyone with the code can check tickets in for that event. Keep printed codes at the staff table, not on a public wall.
  • A paired phone scans one event only. For a second event, create a code for that event and pair again.

If something goes wrong

The phone says This door code does not work.

The code has expired or been turned off. Create a new door code and have the staff member scan that one.

On the Door page, scanning shows That is not a door code. Ticket codes are scanned after setup.

The phone is not paired yet, and someone scanned a ticket. Scan the door code first, tap Start scanning, then scan tickets.

The new door code form says Publish an event first. Door codes are made per event.

You have no published events. Publish the event, then come back to Set up scanning devices.

A paired phone suddenly shows This device is no longer set up for scanning. Scan the door setup code again.

The code expired or was turned off, or the device was signed out from the dashboard. Scan an active door code again.
