Tables and whole table sales

Add round or rectangle tables to a chart, set the number of chairs, and choose whether buyers take single chairs or the whole table.

Who can do this: Owners, admins and managers.

Before you start

  • Create a chart first. See the article on building a seating chart.

Part 1Add a table

  1. 1Click Seating in the dashboard sidebar, then click your chart.
  2. 2Find the Add: row above the chart and click Round table or Rectangle table.
  3. 3Look at the panel on the right. It now shows Table: Table 1.
  4. 4Type the table name in Name, for example Table 12. Buyers see this name on the table and on their tickets.
  5. 5Type the number of chairs in Chairs, from 1 to 30. A new round table starts with 8 chairs and a new rectangle table with 6.
  6. 6Set Diameter for a round table, or Width and Depth for a rectangle table. Each goes from 20 to 600.
  7. 7Drag the Rotation slider to turn the table.
  8. 8Choose a Price category. The price is per chair.
  9. 9Drag the table into place on the chart.

Round tables space the chairs evenly around the edge. Rectangle tables space them around all four sides, so the long sides get more chairs. Use First chair no. if the chair numbers should start at something other than 1.

Part 2Choose how the table sells

  1. 1Select the table and find Sell in the panel.
  2. 2Choose Individual chairs to let buyers pick any chairs at the table, one at a time.
  3. 3Choose Whole table only to make one buyer take every chair. The chart shows the words "sold whole" under that table.
  4. 4Click Duplicate to make more tables with the same settings. Rename each copy.
  5. 5Click Save chart.

A whole table of 8 gives the buyer 8 tickets, one for each chair. The price is the category price times the number of chairs, so a $50 category makes an 8 chair table $400.

Part 3What buyers see

  1. 1Open your event page and look at the seat map. Each table shows its name with the chairs around it.
  2. 2Click any chair at a whole table. Every chair at that table is selected at once.
  3. 3Look for the note above the map that says whole tables are booked as a set.
  4. 4Click Remove table in the Your seats list to take the whole table back out of the order.
  5. 5Notice that once every chair at a table is taken, the table is grayed out.

If even one chair at a whole table is taken or in someone's checkout, nobody else can pick that table.

Tips

  • Tickets and the order list describe a chair as the table name and seat number, like Table 12, Seat 3. Tables have no row.
  • Check Accessible table to mark a table as wheelchair accessible. Buyers see the accessible mark on its chairs.
  • The no single seat rule also applies to chairs at a table sold by Individual chairs. It never gets in the way of a whole table.
  • You can mix rows of seats and tables on the same chart.

If something goes wrong

A buyer sees "That table has 12 seats, but you can book at most 10 tickets in one order."

The table has more chairs than the event allows in one order. Click Events in the sidebar, open the event, raise Max tickets per order under Event details to at least the size of your largest whole table, and click Save changes.

A buyer sees "Table 5 is sold as a whole table. Please select all 8 seats."

This is the safety check at checkout. It appears if an order reaches checkout with only part of a whole table. Ask the buyer to refresh the event page and click the table again so that every chair is selected.

The chairs at a table are gray and cannot be clicked.

The table's price category has no ticket type on this event, or the table is set to Unpriced. Open the event, look under Seat prices for No price set, and add a reserved seat ticket type for that category.

Saving fails with "Table 3 uses a price category that no longer exists."

Select that table, choose a new Price category, and save again.
