Build a seating chart
Create a reusable chart of your venue, add sections of rows and seats, set the row and seat numbers, and save it.
Who can do this: Owners, admins and managers.
Part 1Create the chart
You build a chart once for a venue, then reuse it for every event you run there.
- 1Click Seating in the dashboard sidebar.
- 2Find the New chart box on the right.
- 3Type a name in Chart name, for example the name of the arena or hall. The name needs at least 2 characters.
- 4Choose a Venue if the list is shown. This is optional, and the list only appears when your company has venues.
- 5Click Create chart. The chart designer opens with an empty chart.
To open a chart later, click Seating in the sidebar, then click the chart name in the list.
Part 2Add a section of seats
A section is a block of rows. A new section starts with 8 rows of 14 seats, lettered A to H.
- 1Find the Add: row above the chart and click Seating section.
- 2Look at the panel on the right. It now shows Section: Section 1.
- 3Type the section name in Name. Buyers see this name above the section and on their tickets.
- 4Set Rows (1 to 120) and Seats per row (1 to 200).
- 5Set Seat spacing and Row spacing to spread the seats out or pull them together. Both go from 8 to 120.
- 6Drag the Curve slider to bend the rows like an auditorium. Leave it at 0 for straight rows.
- 7Drag the Rotation slider to turn the whole section, from -180 to 180 degrees.
- 8Choose a Price category for the section. You can change this later.
On a wide screen the chart stays in place while the options panel on the right scrolls on its own, so you can reach every setting without losing sight of the chart.
Part 3Set the row and seat numbers
- 1Click the section on the chart, or click its name under On this chart, to select it.
- 2Choose A, B, C or 1, 2, 3 under Row labels.
- 3Type the number of the first seat in First seat no. Most venues use 1.
- 4Check Number seats right to left if seat 1 is on the right side.
- 5Check Label rows back to front if row A is at the back.
- 6Hover over any seat to check its section, row and seat number.
To give one row its own name, or its own seat numbers, use Row by row. See the row by row article.
Part 4Move things, zoom and remove seats
- 1Find the section under On this chart at the top of the right-hand panel and click its name. A dashed box appears around it on the chart. You can also click any of its seats.
- 2Drag the selected section anywhere on the chart. For small moves, press the arrow keys, or hold Shift with an arrow key to move ten units at a time.
- 3Zoom with the - and + buttons above the chart, or hold Ctrl and roll the mouse wheel to zoom around the pointer. Click Fit to bring everything you have drawn into view. The +, - and 0 keys do the same.
- 4Select a section and use the Rotation slider to turn it. Click ↺ 90° or ↻ 90° beside the slider for an exact quarter turn, which is what bleachers around an arena usually need.
- 5Click a section to select it. Under Clicking a seat, make sure Removes it is chosen.
- 6Click a seat in the selected section to remove it, for example to open up an aisle.
- 7Click the dashed circle where a removed seat was to put the seat back.
- 8Click Duplicate at the bottom of the panel to make a copy of the selected item. Click Delete to remove it.
- 9Change Width and Height under Canvas size if your venue does not fit. Each goes from 200 to 10,000, and a new chart starts at 10,000 by 10,000. Clear the box, type the number you want, and press Enter.
Part 5Undo, redo and save
- 1Click Undo above the chart to take back your last change. You can also press Ctrl+Z.
- 2Click Redo to bring the change back. You can also press Ctrl+Y.
- 3Check the seat count next to the save button. It shows the total seats on the chart.
- 4Click Save chart. The button changes to Saved and a green message shows how many seats were saved.
- 5Click Back to all charts at the bottom of the panel to return to the list.
Undo goes back up to 100 steps. A drag, or a run of typing in one box, counts as one step. Undo covers the drawing and the price categories. It does not cover the chart name or the Selection rules.
Tips
- Save often. The designer does not save on its own, and changes are lost if you leave the page before you click Save chart.
- Build one section, get it right, then click Duplicate to make the matching sections. Give each copy its own name.
- While your cursor is inside a text box, Ctrl+Z only undoes your typing in that box. Click on an empty part of the chart first to undo chart changes.
- A chart can hold up to 20,000 seats, 60 sections, 500 tables, 200 shapes and 300 text labels.
If something goes wrong
Saving fails with "Two seats would both be called A1 in Section 1. Give the sections different row or seat numbering."
Two seats in the same section have the same row and seat number. This usually happens when you typed a custom row label under Row by row that another row already uses. Give each row in the section a different label and save again.
Saving fails with "That layout would create 24,000 seats. The limit is 20,000."
The chart is over the 20,000 seat limit. Lower Rows or Seats per row, or delete a section, then save again.
Saving fails with "Section "Floor" uses a price category that no longer exists."
Select that section, choose a new Price category from the list, and save again.
Clicking a seat selects the section instead of removing the seat.
Seat clicks only work in the selected section. Click the section once to select it, then click the seat.
