Sell reserved seats for an event
Set up price categories on your chart, attach the chart to an event, and add a reserved seat ticket type for each category.
Who can do this: Owners, admins and managers.
Before you start
- Build and save a seating chart. See the article on building a seating chart.
- Create the event. See the article on creating an event.
Part 1Set up price categories on the chart
A price category is a price level, shown as a seat color. A new chart starts with Standard and Premium. The dollar amount is set later, on the event.
- 1Click Seating in the dashboard sidebar, then click your chart.
- 2Scroll the panel on the right to Price categories.
- 3Click Add to make a new category. You can have up to 12.
- 4Type a name for it, such as Box Seats or Balcony.
- 5Click the color square to choose the seat color buyers will see.
- 6Select each section or table on the chart and choose its Price category.
- 7Click Save chart.
Click the x beside a category to remove it. Anything that used it switches to Unpriced, and unpriced seats cannot be sold.
Part 2Price some seats differently from the rest of their section
A section has one price category, but any seat in it can be given another: the front row of a grandstand, the seats by the chutes, a few box seats in a bigger section.
- 1Click the section under On this chart to select it.
- 2Under Clicking a seat, choose Sets its price.
- 3In the list that appears, choose the price category those seats should have.
- 4Click a seat to give it that price. To change many at once, press on the chart and drag a box over them. Every seat of the section inside the box takes the price when you let go.
- 5Watch the seat colors change to the color of the new category.
- 6To put a seat back on the section's price, choose Section price (undo a change) in the list and click the seat again.
- 7Click Save chart.
The panel shows how many seats in the section are priced differently, with a Reset them link that puts every one back on the section's price. Undo also works: one drag across a run of seats is one step.
Part 3Kill a seat so it stays on the map but cannot be bought
For an obstructed view, a broken chair, a camera platform or a spot the fire marshal closed. A killed seat is greyed out with a cross, buyers cannot pick it, and it counts as Blocked on the event.
- 1Click the section under On this chart to select it.
- 2Under Clicking a seat, choose Kills it.
- 3Click a seat to kill it. Click it again to bring it back.
- 4To kill many at once, make sure kills the seats is chosen under Dragging a box, then press on the chart and drag a box over them.
- 5To bring a group back, choose brings them back and drag a box over them.
- 6Click Save chart. Every event using the chart updates on its own.
The panel shows how many seats in the section are killed, with a Bring them all back link. A seat that is already sold for an event is left alone when you kill it on the chart; the ticket stays valid.
Part 4Attach the chart to your event
- 1Click Events in the dashboard sidebar, then click your event.
- 2Scroll to Reserved seating.
- 3Choose your chart in the Seating chart list. Each chart shows its seat count.
- 4Click Apply seating. A green Seating updated. message appears.
- 5Check Seat inventory. It counts seats that are Available, Sold, In checkout and Blocked.
- 6Check Seat prices. Every category says No price set until you add its ticket type.
Each event keeps its own record of which seats are sold, so you can use one chart for many events.
Part 5Add a reserved seat ticket type for each category
- 1Scroll to Ticket types on the same event page.
- 2Click Add ticket type if the form is not already open.
- 3Leave Ticket kind on Reserved seat - priced by seat category.
- 4Choose the category in Seat category.
- 5Type a Name, such as Premium Seat. Buyers see this name in their order.
- 6Type the price for one seat in Price (USD).
- 7Leave Quantity available alone. It is turned off because the number of seats in the category is the limit.
- 8Click Add ticket type.
- 9Repeat for every category until nothing under Seat prices says No price set.
You can also add a General admission - no seat ticket type to the same event, for example for standing room. Buyers see it under Other tickets beside the seat map.
Part 6Change the chart after tickets are sold
You can keep editing a chart while an event is on sale. When you save, every event that uses the chart is updated.
- 1Open the event, scroll to Reserved seating, and click Edit this seating chart.
- 2Read the amber notice at the top. It tells you how many seats from this chart are sold or in checkout.
- 3Make your changes and click Save chart.
- 4Read the green message. It shows the seats saved and how many sold seats were kept in place.
Seats that are sold, or in someone's checkout, are never removed, even if you delete their row or section. New seats go on sale right away. Unsold seats you removed come off the event.
Tips
- A seat is held for a buyer from the moment they start checkout. If they do not pay, the order is closed after 20 minutes and the seats go back on sale. These seats show as In checkout.
- There is no screen for blocking single seats yet. To keep seats off sale, put them in their own price category and do not add a ticket type for it, or set their section to Unpriced. Buyers see them grayed out.
- Try not to change row letters or seat numbers after sales start. Sold tickets keep the seat name they were bought with.
- Buyers can book up to the event's Max tickets per order in one order. You set this under Event details.
If something goes wrong
Seats on the event page are gray and cannot be clicked.
Their price category has no ticket type on this event. Open the event, find the categories marked No price set under Seat prices, and add a reserved seat ticket type for each one.
Adding a ticket type fails with a message like ""Premium Seat" already prices that seat category."
Each category can have only one reserved seat ticket type per event. Choose a different Seat category, or delete the existing ticket type first.
Choosing General admission (no seat map) fails with "3 seats have already been sold for this event. The chart cannot be removed."
Once a seat is sold or in checkout, the chart has to stay on the event. You can still edit the chart itself.
A buyer sees "Seat A5 was just taken. Please choose another."
Someone else started checkout with that seat a moment earlier. The buyer needs to pick a different seat. If the other person does not pay, the seat comes back on sale after 20 minutes.
