Sell tickets at the box office
Build a sale on the box office screen, take cash or a card, and hand over the tickets.
Who can do this: Owners, admins, managers and anyone with the Box office role.
Before you start
- Publish the event. See the article on setting up your box office.
- Connect Stripe to take cards.
- Put a card on file under Settings to take cash.
Part 1Build the sale
- 1Click Box office in the sidebar, then Open box office on your event.
- 2Tap + next to a ticket type under Tickets to add one. Tap - to take one off. Each type shows how many are left.
- 3Tap seats on the map under Seats if the event has a seating chart. Tap a seat again to let it go.
- 4Tap + next to a size or item under Apparel and add-ons to add merchandise.
- 5Check the lines and totals in the Current sale panel.
- 6Type a code in Discount or comp code and tap Apply if the customer has one.
- 7Tap Customer details (optional) to add a Name, an Email and a Phone. Tickets are emailed to the address you enter.
- 8Tap Clear at the top of the panel to empty the sale and start again.
Customer details are optional. If you leave the name blank the order is saved under Box office customer.
Part 2Take cash
- 1Tap Cash. The button shows the cash total.
- 2Type the amount handed over in Cash received, or tap Exact or one of the bill buttons.
- 3Read Change due and give the customer their change. If it says Still owed, collect the rest first.
- 4Tap Complete cash sale.
- 5Tap Back instead if the customer changes their mind.
When a sale comes to zero, for example with a comp code, the button reads Complete (nothing to pay) and finishes the sale in one tap.
Part 3Take a card
There are up to three card buttons. Each shows the card total. Where you pass card processing on to buyers, the card total is higher than the cash total, and the screen says: The card price includes card processing; cash does not.
- 1Tap Card reader - tap, chip or swipe if you have a paired reader. Ask the customer to tap, insert or swipe on the reader.
- 2Tap Card - type it in here to key the card in yourself. A secure card form opens. When the payment is made you come back to the box office.
- 3Tap Card - customer's phone (QR) to let the customer pay on their own phone. Have them scan the code on your screen with their phone camera and pay.
- 4Wait. The screen moves on by itself the moment the payment goes through. You do not need to refresh.
- 5Check that the screen says Sale complete before you hand over tickets. If it says Waiting for payment to confirm, give it a moment. It updates by itself.
Part 4Hand over the tickets
- 1Tap Print tickets to print them on your ticket printer. It opens in a new tab.
- 2Tap Show tickets on screen to open the tickets with their QR codes, for the customer to photograph or for the gate to scan.
- 3Tap the check-in button if the customer is walking straight in. It reads, for example, Check in all 3 tickets now.
- 4Tap New sale for the next customer.
If you entered an email, the screen confirms: The tickets were also emailed to the customer.
Part 5Cancel a sale that was not paid
- 1Tap Cancel this sale on the QR code screen or the card reader screen.
- 2Wait for the selling screen to come back. The tickets and seats go back on sale and the payment is cancelled, so a QR code already scanned cannot take money.
- 3Build the sale again if the customer wants to pay another way.
If you walk away from an unpaid card sale without cancelling it, its tickets and seats are released by themselves after about 20 minutes.
Tips
- Put the box office on the seller's phone or tablet like an app: open it in the phone's browser and accept the Install offer at the top (Android and Chrome), or on an iPhone tap Share in Safari, then Add to Home Screen. It then opens full screen from its own icon, with no browser bars.
- Box office sales follow fewer rules than online sales. The customer does not sign your online terms. Sales start and end dates, and minimum and maximum per order, do not apply. The no single seat rule does not apply, so you can sell that last odd seat. Only the number of tickets left limits you.
- Ticket types marked Box office only are hidden from your public page and can only be sold here. A type marked Box office price is selling at the day-of price you set for it.
- You can sell merchandise by itself. Add items under Apparel and add-ons and leave the tickets at zero. Anything sold at the box office is recorded as already handed over.
- The bottom of the panel reads Selling as with your name. Sign in with your own login so your sales and your cash drawer are yours.
If something goes wrong
Under the Cash button it says Cash is switched off until your company puts a card on file for Ticket-Worx fees.
An owner or admin needs to add a card under Settings, Fees on cash sales. Until then take cards. Card payments work now.
A card sale fails with This company cannot take card payments yet. Take cash, or finish connecting Stripe in Settings.
Your Stripe account is not connected or not yet approved to take charges. An owner finishes this under Settings, Getting paid. Take cash until then.
Cancelling shows The customer has just paid. This sale is complete.
The payment landed while you were cancelling. The sale is good and the tickets are issued. If the customer no longer wants them, an owner, admin or finance user can refund the order.
The screen says This event is over or cancelled, so tickets cannot be sold.
The box office cannot sell for an event that is cancelled or marked completed. Click Change event and check you opened the right one.
