Set up your box office
Give your ticket sellers their own login, open the box office for an event, and know what a seller can and cannot see.
Who can do this: Owners and admins add team members. Owners, admins, managers and anyone with the Box office role can open the box office and sell.
Before you start
- Publish your event. Drafts are not listed in the box office.
- Connect Stripe if you want to take cards. See the article on connecting Stripe.
- Put a card on file if you want to take cash. See the article on cash sales and cash fees.
Part 1Give a ticket seller a login
Each seller should have their own login. Every sale and check-in is recorded against the person who made it.
- 1Click Settings in the dashboard sidebar.
- 2Click Team at the top of the page to jump to the team list.
- 3Find the Add someone form under the list.
- 4Type the seller's Name and Email.
- 5Choose Box office under Role. The line under the box reads: Sell tickets in person and check people in. Sees no company financials.
- 6Type a password of at least 10 characters under Their password. Leave it blank if they already have a Ticket-Worx login.
- 7Click Add to team.
- 8Tell the seller their email and password. They sign in at the normal login page.
You choose the password and pass it on yourself. Ticket-Worx does not email it to the seller.
Part 2Open the box office for an event
- 1Click Box office in the dashboard sidebar.
- 2Find the card for the event you are selling for. Each card shows the date, the venue and how many tickets are issued so far.
- 3Click Open box office on that card.
- 4Start selling on the screen that opens. The event name is at the top.
- 5Click Change event at the top of the selling screen to go back and pick a different event.
An event is listed once it is published, and it stays listed for 24 hours after it ends so a late seller is not locked out. Events with sales closed are still listed.
Part 3Check what a seller sees
A Box office login is built for the venue floor. It shows the selling screen and the door scanner, and nothing about company money.
- 1Ask the seller to sign in on the device they will use.
- 2Check that their sidebar shows only Box office and Door.
- 3Open an event and scroll below the selling screen to Your sales, last 18 hours. A seller sees only their own cash, card and ticket totals there.
- 4Sign in as an owner, admin or manager to see Box office takings, last 18 hours, which lists every seller.
Sellers cannot open Settings, Reports, Orders, Events or any other company screen. If they type one of those addresses they get a page not found screen.
Part 4Change a seller's role or remove them
- 1Click Settings in the sidebar, then Team.
- 2Find the person in the team list.
- 3Choose a new role from the list on their row and click Save.
- 4Click Remove on their row to take away their access instead. It takes effect right away.
You cannot change the owner here, and you cannot change your own access.
Tips
- Give every seller their own login instead of sharing one. The takings table is split by seller name, so shared logins make the cash drawer hard to balance.
- A Box office login can also scan tickets. The seller clicks Door in the sidebar.
- Use the Door role for staff who only scan. That role sees the check-in screen only.
If something goes wrong
The box office page says Nothing to sell yet.
Events appear once they are published. Drafts are not listed, and an event drops off the list 24 hours after it ends. Publish the event, then reload the page.
Adding a seller shows Choose a password of at least 10 characters for them.
The email is new to Ticket-Worx, so a password is needed. Type one with 10 or more characters and click Add to team again.
Adding a seller says their email is already on the team.
That person already has access. Find them in the team list, pick Box office from the role list on their row and click Save.
The Cash button is grayed out for the seller.
Your company has no card on file for the fees on cash sales. An owner or admin adds one under Settings, Fees on cash sales. Card payments work in the meantime.
