Get help with your seating chart
Send us the details of your venue and Ticket-Worx staff can build the seating chart and copy it into your account.
Part 1Gather what we need
The more exact your details, the closer the first version will be. A phone photo of a hand drawing is fine. Best of all is a spreadsheet laid out like the building, which we can turn into a chart directly.
- 1Take a photo, or make a drawing, of the venue that shows every seating area and where the stage or arena floor is.
- 2Write down the name of each section as it should appear on tickets.
- 3List the row letters or numbers in each section, from front to back.
- 4List the seat count for every row, and which end seat 1 is on. Rows do not have to match each other.
- 5Mark every walkway, beam or pole, and the seat numbers on each side of it.
- 6Mark any missing seats, such as a row that skips seats 23 and 24.
- 7Mark the accessible areas and seats.
- 8Note any tables, how many chairs each one has, and whether it sells by the chair or as a whole table.
- 9Note which areas are different price levels, such as box seats and general reserved.
Part 2Lay the venue out in a spreadsheet, if you can
Make the sheet look like the building. One spreadsheet row for each row of seats. This is the fastest way for us to build your chart exactly.
- 1Put the row name in column A: A, B, AA, 12.
- 2Type each seat number in the cell where that seat is, one cell per seat, left to right as you face the seats from the arena or stage.
- 3Leave a cell empty where there is no seat: a missing seat, a gap, or a post.
- 4Type a vertical bar, or the word Walkway, Aisle, Stairs or Beam, for a walkway. Leave the cells after it empty for a wider one.
- 5Type HC in the cell for a wheelchair spot that has no number. We number them HC1, HC2 and so on along the row. Put a star after a normal seat number, like 14*, for an accessible seat that keeps its number.
- 6Leave cells empty at the start of a row to push that row to the right, so rows do not have to line up.
- 7Start each section with a line of its own in column A, such as SW Section or North Grandstand. A line in brackets, like (Back Wall), is ignored.
- 8Save it as an Excel file (.xlsx) or a .csv and attach it to your email.
Seats numbered right to left are fine. Just type them that way: 30, 29, 28.
Part 3Send it to us
- 1Write an email to ticket@ticket-worx.com.
- 2Include your company name as it appears in Ticket-Worx, and the name of the venue.
- 3Attach your photos, drawings and lists.
- 4Tell us the date tickets need to go on sale.
- 5Send the email. We will reply if anything is unclear.
Part 4Find the finished chart in your account
We build the chart on our side, then copy it into your company. The copy is yours. You can edit it like any chart you made yourself.
- 1Click Seating in the dashboard sidebar.
- 2Find the new chart in the list. The Seats column shows its seat count and the Events column shows 0 until you use it.
- 3Click the chart name to open it in the designer.
- 4Hover over a few seats in each section and check the section, row and seat numbers against your venue.
- 5Check the names under Price categories. Prices are not part of the chart. You set them on the event.
- 6Fix anything small yourself and click Save chart, or email us the changes.
- 7Attach the chart to your event. See the article on selling reserved seats.
Tips
- Walk the venue with your list before you send it. Seat counts from memory are the most common cause of a second round of changes.
- The chart arrives with the no single seat rule set the way we built it. Check Selection rules in the designer if you want it changed.
- One chart can be reused for every event at that venue, so you only need to do this once per layout.
If something goes wrong
We told you the chart is ready, but it is not in your Seating list.
Refresh the page. If you belong to more than one company, make sure you are in the right company's dashboard. If it is still missing, reply to our email and we will check which company it was copied to.
You cannot open Seating at all.
Only owners, admins and managers can open seating charts. Ask an owner or admin to change your role under Team on the Settings page, or to check the chart for you.
A row has the wrong number of seats.
Select the section, open Row by row, and correct that row. See the row by row article. Or email us the correction at ticket@ticket-worx.com.
