Scan tickets at the door

Scan ticket QR codes, look up a ticket or an order by its number, and know what each result color means.

Who can do this: Anyone on a paired door phone, and team members with the Door, Box office, Manager, Admin or Owner role.

Before you start

  • Pair the phone with a door code, or sign in and tap Door in the sidebar. See the article on setting up door scanning.

Part 1Scan a ticket

  1. 1Tap Scan with camera. Allow the camera if the phone asks.
  2. 2Hold the ticket's QR code inside the square on the screen.
  3. 3Read the big result. A green Admit means let them in. The phone also beeps once and buzzes.
  4. 4Check the ticket type, the seat if there is one, and the buyer's name under the result.
  5. 5Scan the next ticket. The camera stays open.
  6. 6Tap Close camera when you are done.

A USB, Bluetooth or built-in handheld scanner works too. Just scan. There is no need to tap the box first.

Part 2Read the result

Every result has a color, a word and a sound, so staff can work without reading the small print.

  1. 1Let the person in on green Admit. The message is Valid ticket. or Valid full-event pass.
  2. 2Stop and check on amber Already in. The message gives the time of the first scan, or says it was checked in moments ago at another gate. Two beeps.
  3. 3Turn away or redirect on amber Wrong day. The message names the day the ticket is for.
  4. 4Pick a day on amber Choose a day, then scan again. This shows for a full-event pass when no day is selected.
  5. 5Refuse entry on red Not valid. The ticket was refunded or voided. One long low tone.
  6. 6Look closer on red Not found. The code is not recognized, or the ticket is for a different event.
  7. 7Carry on from blue Order found. You looked up an order, and nobody has been checked in yet.

Part 3Look up a ticket or an order by hand

Use this when a phone screen is cracked, a printout is smudged, or the buyer only has their confirmation email.

  1. 1Tap the box labeled Or type a ticket code or order number.
  2. 2Type a ticket code, which looks like TKT-XXXX-XXXX, or an order number, which looks like ORD-XXXX-XXXX.
  3. 3Tap Check.
  4. 4Read the result. A ticket code checks that ticket in straight away. An order number only opens the order.

Part 4Check in a whole group

After any scan or lookup, the buyer's whole order is listed under the result, showing how many are in.

  1. 1Scan one ticket from the group, or type the order number.
  2. 2Count the people in front of you against the tickets listed.
  3. 3Tap Check All Tickets In. The button shows how many tickets are left to check in.
  4. 4Tap Check in next to single tickets instead if only part of the group has arrived.
  5. 5Look at the badges for the rest: Checked in, Not valid or Different day.

With one ticket left the button reads Check In Remaining Ticket. Tickets for a different day are skipped.

Part 5Scan a multi-day event

  1. 1Check the Scanning for list at the top of the scanner. It opens on today's day by itself.
  2. 2Change it only if it shows the wrong day.
  3. 3Scan as normal. A single-day ticket gets in on its own day only. A full-event pass gets in once on each day.
  4. 4Watch the counter. On a multi-day event it reads Checked in today.

Tips

  • Put the scanner on each phone like an app: accept the Install offer at the top of the door page (Android and Chrome), or on an iPhone tap Share in Safari, then Add to Home Screen. It opens full screen from its own icon and keeps working without Wi-Fi.
  • The counter at the top shows how many are checked in out of all valid tickets. It updates with every scan, across every gate.
  • Recent scans keeps the last 15 results on this device, handy when someone says they were just scanned.
  • Turn the phone's volume up and the screen brightness up. The beeps tell staff the result without looking down.
  • Holding the camera on the same code does not scan it over and over. The same code is ignored for 3 seconds.

If something goes wrong

The camera area says Camera access was blocked. Allow the camera for this site in your browser settings, then try again.

Someone tapped Block when the phone asked. Open the browser's site settings for the page, allow the camera, then reload and tap Scan with camera again. Type codes by hand in the meantime.

A ticket shows Not found with This ticket is for a different event.

The ticket is real but for another event. On a signed-in phone, check the Event list at the top. A paired door phone scans only the event its door code was made for.

A scan shows That is a door setup code, not a ticket.

Someone scanned the staff door code instead of a ticket. Scan the buyer's ticket QR code.

A buyer insists they have not been in, but the scan says Already in.

Note the time in the message and check Recent scans. A screenshot of the ticket may have been shared. Follow your own policy. The scanner will not admit the same ticket twice on the same day.
