How buyers get their tickets
What your buyers see from your event page to the QR tickets in their inbox, so you can answer their questions.
Before you start
- Your event is set to Published. Until then the public sees a page that says "Tickets are not on sale yet".
- Your Stripe account is connected, so cards can be charged.
- Your terms and conditions are saved in Settings. Tickets cannot be sold without them.
Part 1Choose tickets on your event page
Every buyer starts on your public event page. It shows your event name, date, venue, About this event and a Tickets box.
- 1Open the event page from your link, a QR code or a social post.
- 2Press + beside a ticket type to add tickets. Press - to take one away.
- 3Click seats on the map if the event has reserved seating. The chosen seats are listed under Your seats.
- 4Add shirts or other extras under Add to your order. This part appears once a ticket is in the order.
- 5Pick a Size / option and How you get it if the extra offers a choice.
- 6Type a code in Promo code and press Apply if the buyer has one.
- 7Check the price list and the Total. Fees and tax that the buyer pays are listed line by line.
A ticket type shows a warning such as "Only 5 left" when 20 or fewer remain, and Sold out when none remain.
Part 2Enter details and sign the agreement
Buyers do not create an account. They give a name and an email, agree to your terms, and sign.
- 1Type a Full name and an Email. The page says "Your tickets are sent here."
- 2Fill in the Shipping address if an extra is being shipped.
- 3Tick "Send me news and offers" only if the buyer wants your marketing email. The box starts empty.
- 4Tick the box that starts I have read and agree to the. The buyer can click terms and conditions or privacy policy to read them first.
- 5Choose Type or Draw beside Signature.
- 6Type the full legal name. For Draw, sign in the box with a finger or mouse.
- 7Press Checkout. The button shows the amount to pay.
Ticket-Worx keeps a copy of the exact terms the buyer agreed to with the order. You can see the signed name on the buyer's profile on the Customers page, in the Signed terms column.
Part 3Pay by card
The payment page shows an Order summary beside the card form. The tickets are held for the buyer while they pay.
- 1Check the Order summary and the Total.
- 2Enter the card details under Payment.
- 3Press Pay. The button shows the amount.
- 4Try again if the card is declined. A red message explains the problem, and the buyer can enter another card and press Pay again. The tickets stay held.
- 5Press Get my tickets instead if the order is free. No card is needed.
A buyer has 20 minutes from starting checkout to finish paying. After that the order is cancelled, the payment is closed so the card cannot be charged, and the tickets go back on sale. An old checkout link then shows This order is no longer available, and the buyer starts again from your event page.
Part 4Receive the tickets
- 1Wait for the order page to open after paying. It shows a Confirmed badge and the heading You're going to with your event name.
- 2Find each ticket under Your tickets. Every ticket has its own QR code, ticket type, seat or day if it has one, and a ticket code.
- 3Check the inbox for an email with the subject "Your tickets for" and your event name. It has the same QR codes and a View your tickets button that opens the order page again.
- 4Show the QR codes at the gate on a phone or on paper. The page reminds buyers "Each QR code is scanned once."
- 5Scroll to Receipt for the items, fees, Total paid, and your company name and support email.
- 6Use Bring your friends to copy or share the buyer's personal share link.
Tips
- The ticket email is sent from your company name followed by "via Ticket-Worx". Replies go to the Support email in Settings, under Company profile.
- The order page opens for anyone who has the link, with no sign-in. Tell buyers to treat the link like the tickets themselves.
- Sign in and open your event page while the event is a draft to see a Draft preview of exactly what buyers will see.
If something goes wrong
The buyer sees Tickets are not on sale.
Read the line under it. "Sales for this event have closed." means the event status is no longer Published. "The organizer is finishing their setup. Please check back soon." means your terms and conditions are missing. Add them in Settings under Terms and privacy policy.
The buyer sees "This organizer cannot accept payments yet. Please try again later."
Your Stripe account is not ready to take cards. Open Settings, go to Getting paid, and finish connecting Stripe. Charges enabled must say Yes.
Tickets showed as sold out, then came back a little later.
Someone started a checkout and did not finish. Their tickets were held for 20 minutes and then went back on sale. Nothing is wrong.
The buyer sees "Too many checkouts from this connection in a short time. Please wait a few minutes and try again."
More than 40 checkouts were started from the same internet connection within 10 minutes. This can happen on shared office or venue Wi-Fi. Wait a few minutes or switch to mobile data.
