Sign sellers and scanners in with a PIN
Give event-day staff a 4-digit PIN instead of an email and password. They enter the event code once, then just their PIN.
Who can do this: Owners, admins and managers issue PINs. Anyone with a PIN can sign in.
Before you start
- Create the event. PINs are issued for one event at a time.
- Publish the event before the day. A seller can sign in to a draft, but the box office only lists published events.
Part 1Give someone a PIN
A PIN takes ten seconds to set up and needs nothing from the person but their name.
- 1Click Staff PINs in the dashboard sidebar.
- 2Choose the event under Event and click Show.
- 3Type the person's name under Name in the Add someone form.
- 4Choose Box office (sells and scans) or Ticket scanner under What they will do.
- 5Click Add and assign a PIN.
- 6Read their PIN from the People on this event list and tell them, or print the sheet.
Ticket-Worx picks the PIN. It never hands out an obvious one such as 1234, and no two people on the same event share a number.
Part 2Show staff how to sign in
Staff need two things: the event code, which is the same for everyone, and their own PIN.
- 1Find the six-character code under Event code for your event on the Staff PINs page.
- 2Click Print sign-in sheet to print the code, its QR code and everyone's PIN.
- 3Ask each person to install the Ticket-Worx Staff app from Google Play (search for Ticket-Worx Staff, or use the link on the Staff PINs page), or to point their phone camera at the QR code. The iPhone app follows once Apple approves it.
- 4Have them type the event code and tap Continue. The phone remembers it, so this is only done once.
- 5Have them enter their 4-digit PIN. A seller lands on the box office and a scanner lands on the scanner.
A PIN login sees only this one event. It cannot open reports, settings, orders or any other event.
Part 3Use the same people for your next event
PINs stop working twelve hours after the event ends. The numbers are then free again, and your crew can keep the ones they know.
- 1Click Staff PINs and choose the new event.
- 2Find Use the same people as another event.
- 3Choose the earlier event under Copy from.
- 4Click Copy people and PINs.
Everyone is added with the PIN they had before. Anyone already on the new event is skipped.
Part 4Take someone off
- 1Find the person in the People on this event list.
- 2Click Remove at the end of their row.
- 3Know that they are signed out at once, on every device, and their PIN stops working.
Tips
- Sales and check-ins are recorded against the person's name, exactly as with an email login.
- For someone who works every event and needs more than selling and scanning, use Settings, then Team, and give them an email login.
- After several wrong PINs in a row the sign-in screen pauses for ten minutes. This stops anyone guessing their way in.
If something goes wrong
The sign-in screen says the event code was not found.
Check the code on the Staff PINs page. Codes never contain the digits 0 or 1 or the letters I, L or O. A code also stops working twelve hours after its event ends.
The sign-in screen says the PIN is not right for this event.
Make sure the phone is on the right event. Tap Use a different event code and enter the code for today's event.
A seller signed in but sees no event.
Publish the event. The box office does not list drafts.
