Reports and exports

What every report shows, how to filter by date and event, how to download a CSV, and where fees, tax, refunds and check-ins appear.

Who can do this: Owners, admins, managers and finance members can open Reports. Only owners, admins and finance members see payouts, fees and refund amounts.

Part 1Open a report and set the filters

  1. 1Click Reports in the dashboard sidebar. The company overview opens on Last 90 days.
  2. 2Change Date range to Last 7 days, Last 30 days, Last 90 days, Last 12 months, Year to date or All time.
  3. 3Choose Custom range, set From and To, and press Apply for your own dates.
  4. 4Choose an event under Event to open that event's own report. It starts on All time.
  5. 5Scroll to Reports by type at the bottom. Reports are grouped under Sales, Marketing and Operations.
  6. 6Click a report name to open it. Your date range and event carry over.
  7. 7Press Overview or Event overview at the top of a report to go back.

The overview shows Gross sales, Tickets sold, Orders, Average order, Your payout, Views to paid orders and Check-in rate. You can also reach an event's report from the Reports button on the event page.

Part 2Sales reports

  1. 1Open Sales over time for gross sales, orders and tickets by day, week or month, with Net of refunds.
  2. 2Open Revenue, fees and payouts for the Payment breakdown and Settlement by event. This is the report to give your bookkeeper.
  3. 3Open Ticket types for tickets sold, sell-through and face value of every ticket type.
  4. 4Open Event comparison to see every event side by side: page views, orders, gross, net of refunds and check-in.
  5. 5Open When people buy for the busiest day and hour, and how far ahead of the event people buy.
  6. 6Open Ticket upgrades for tickets upgraded at the venue, with card totals and Paid in cash.
  7. 7Open Refunds and failed payments for refund totals, Refunds by event, and a list of every refunded order marked Full or Partial.

Revenue, fees and payouts, Ticket upgrades and Refunds and failed payments are hidden from managers.

Part 3Marketing reports

  1. 1Open Checkout funnel for page views, checkouts started, paid orders, and a list of Abandoned checkouts with the buyer's name and email.
  2. 2Open Sales channels to see sales from tracking links, buyer share links, promo codes and direct visits, plus phone, tablet and desktop.
  3. 3Open Tracking links and clicks for clicks, orders and revenue for every tracking link.
  4. 4Open Buyer shares and referrals for friend visits, friend orders and Top sharers.
  5. 5Open Promo codes for orders, tickets and discount given by each code.
  6. 6Open Giveaways for people entered and entries by how they were earned.
  7. 7Open Customers for first-time and returning buyers, Opted in at checkout, and Top buyers.
  8. 8Open Email campaigns for emails sent, clicks, click rate and unsubscribes. It covers the whole company, so it has no event filter.

Part 4Operations reports and check-in counts

  1. 1Open Sold vs. scanned for the night-of question: Tickets sold, Scanned in, Not scanned and Scan rate, with a Whole event table, a Per day table for multi-day events, and a breakdown by ticket type.
  2. 2Open Attendance and check-in for Tickets issued, Checked in, Check-in rate, No-shows, Rejected scans and Printed tickets.
  3. 3Read Arrivals by time of day to plan door staff for next time.
  4. 4Read Scan results to see how many scans were admitted, already scanned, on the wrong day, void or refunded, or not recognized.
  5. 5Read Attendance by event and Attendance by ticket type for the check-in rate of each.
  6. 6Open Multi-day events for single-day tickets, full passes and turnout for each day.
  7. 7Open Seating for seats sold, held and available by section and price category. It shows seats as they are right now, so the date range does not apply.

No-shows only counts tickets for events that have finished. Refunded and voided tickets are left out of attendance. A multi-day pass can be admitted once per day.

Part 5Download a CSV and read the money lines

  1. 1Open the report you want and set the date range and event.
  2. 2Press Download CSV at the top. On an event report, click Full report and CSV beside a section first.
  3. 3Open the file in your spreadsheet program. It starts with the report name, the event or All events, and the period, followed by every table in the report.
  4. 4Read Payment breakdown from top to bottom: Ticket face value, Discounts given, Fees paid by buyers, Card fees paid by buyers, Tax collected, then Gross collected.
  5. 5Keep reading: Ticket-Worx fees, Card processing (estimated), Payout before refunds, Your fees absorbed (included above), Refunded to buyers and Payout after refunds.
  6. 6Treat Tax collected as money you owe to the tax office. It is yours to remit.

Gross figures count everything buyers paid, including orders that were refunded later. Refunds are shown against the date of the original order. Each download is recorded with the name of the person who made it.

Tips

  • Card processing is an estimate: gross minus your payout and Ticket-Worx fees. Your Stripe dashboard has the exact figure.
  • Money from add-ons and shipping is inside Gross sales, Gross collected and your payout, but has no line of its own. Ticket face value counts tickets only. Use the add-on fulfillment list on the event for item counts.
  • Reports do not split ticket sales into cash and card. For that, open the event in Box office and read the takings table, with Cash in drawer and Card for each seller over the last 18 hours.
  • Batches of printed tickets count as tickets issued with no money. They show under Printed tickets in the attendance report.

If something goes wrong

A manager cannot find the payout or refund reports.

Those reports and the Your payout figure are limited to owners, admins and finance members. Change the person's role in Settings under Team if they need them.

A report looks empty or the numbers look too low.

Check Date range. The company overview starts on Last 90 days, so older events are left out until you choose All time or a custom range. Tables then say things like "No sales in this period."

The payout in a report does not match your bank deposit.

Stripe pays out on its own schedule and groups several days together. Card processing in reports is an estimate, and refunds are dated to the original order. Use your Stripe dashboard for exact deposit amounts.

The page view numbers look high.

Page views count every load of the event page, including repeat visits by the same person. Visits to a draft event are not counted.
