Find vendors for your event
Search food trucks, entertainment, equipment and services near your venue, send them your event, post a call for vendors, and rate the ones you worked with.
Who can do this: Owners, admins and managers.
Before you start
- An upcoming event with a venue and ZIP code, so vendors can be shown by distance.
Part 1Find vendors near your venue
- 1Click Vendors in the dashboard menu.
- 2Choose the event under Near the venue of, or type a ZIP code, and set how far to look under Within (miles).
- 3Pick a Category (food truck, band, staging, security and so on) or type in Search, then press Search.
- 4Read each card: distance from the venue, how far they travel, their rating from other producers, and badges for insurance and permits (the vendor's own statements; ask for proof).
- 5Press View and invite to read the full listing, photos and what other producers said.
Part 2Send a vendor your event
- 1On the vendor's page, choose the Event, write a Message (crowd size, hours, space and power, what you pay), and say how they should contact you if interested.
- 2Press Send: interested?. The vendor gets an email with your event details and two buttons: Yes, interested and Not this time.
- 3You get an email with their answer. If it is a yes, it includes their name, email and phone, and you take it from there; nothing is agreed through Ticket-Worx.
- 4See every vendor you have asked under Applications and invitations. A pending one can be withdrawn.
One invitation per vendor per event. Your contact details go to the vendor only when they say yes.
Part 3Post a call for vendors
Instead of searching, say what you need and let vendors come to you.
- 1Go to Vendors, then Post a call for vendors.
- 2Choose the Event, write What you need (for example "Two food trucks and a face painter for Saturday") and any details: crowd, hours, space, power, fees or revenue share.
- 3Optionally limit it to certain kinds of vendor, say how many you want, and set an apply-by date.
- 4Press Post call. Member vendors who can reach your venue and do that kind of work see it in their portal and apply with one standard form: what they would bring, what they need on site, the terms they expect, and whether the dates work.
- 5Applications arrive by email and under Applications and invitations. Open Their application, then press Accept or Decline, with an optional line for them. Accepting shares contact details both ways.
- 6Press Mark filled on the call when you have what you need.
Part 4Rate a vendor after the event
- 1Once the event is over, open Applications and invitations.
- 2Beside any vendor who said yes or whose application you accepted, choose 1 to 5 stars, add a line if you like, and press Save rating.
- 3Ratings show on the vendor's listing to every producer. You can change yours later.
Only producers who actually worked with a vendor can rate them, once per event, so ratings mean something.
Tips
- Vendors keep their contact details private until they say yes, and yours stay private until then too. Everything after that happens between you and them.
- Know a great vendor who is not listed? Send them ticket-worx.com/vendors. The first 1,000 vendors get three months free.
If something goes wrong
The search shows every vendor with no distances.
Choose an event that has a venue with a ZIP code, or type a ZIP code in the box.
You cannot send a second invitation to the same vendor for the same event.
That is by design; withdraw the first one under Applications and invitations if you want to start over.
