Send an email campaign
Write an email, test it on yourself, and send it to the customers who agreed to hear from you.
Who can do this: Owners, admins and managers can write and send campaigns. Only owners and admins can add the mailing address in Settings.
Before you start
- Add your postal address. Click Settings, find Company profile, fill in Mailing address and press Save profile. US law requires it in every marketing email.
- Have at least one Subscribed contact on your Customers page.
Part 1Write the email
- 1Click Marketing in the dashboard sidebar.
- 2Press New campaign.
- 3Type a Campaign name (internal). Only your team sees it.
- 4Choose an Audience. Leave it on All subscribers or pick a saved segment.
- 5Type a Subject line of up to 150 characters.
- 6Type a Preview text (optional). Most inboxes show it after the subject.
- 7Write your Message in plain text. Leave a blank line between paragraphs.
- 8Paste full links that start with https:// so they become clickable and their clicks are counted.
- 9Press Create draft.
Your mailing address and an unsubscribe link are added to the bottom of every email automatically. The message is plain text only, from 10 to 20,000 characters.
Part 2Choose who receives it
Whatever audience you pick, only contacts who opted in and have not unsubscribed receive the email.
- 1Choose All subscribers to reach everyone who may be emailed.
- 2Choose a line that starts with Segment: to reach a group you saved on the Customers page.
- 3Build a new group by clicking Customers, applying filters, and pressing Email these contacts. The new campaign opens with that group as its audience.
- 4Check the count on the draft under Send campaign. It says how many subscribed contacts will receive the email.
Part 3Test and send
- 1Open the draft from the Email campaigns list on the Marketing page.
- 2Check the Preview. It shows the email exactly as it will arrive.
- 3Press Send test under Send a test. The email goes only to your own sign-in address, with [Test] at the start of the subject.
- 4Read the test on your phone and click every link.
- 5Fix anything in the form and press Save draft.
- 6Tick the box that starts I've checked the test email under Send campaign.
- 7Press Send now. This cannot be undone.
- 8Keep the page open until it says how many contacts it was sent to.
Emails go out one at a time, so a large list takes a while. Campaigns send right away. There is no scheduled send. A campaign cannot be sent twice, even if two people press the button together.
Part 4Read the results
- 1Click Marketing and open the sent campaign from the Email campaigns list.
- 2Read the figures at the top: Sent, Failed, Unique clicks with the click rate, and Total clicks.
- 3Scroll to Recipients to see who clicked most. It lists the top 100 contacts.
- 4Click a contact to open their profile. The email also appears there under Emails received.
- 5Open Reports and choose Email campaigns to compare every campaign and see Unsubscribes.
Opens are not tracked, because most mail apps block it. Clicks are the measure.
Tips
- The email is sent from your company name followed by "via Ticket-Worx". Replies go to the Support email in your company profile.
- Sent campaigns are kept for your records and cannot be edited or deleted. Only a draft shows Delete draft.
- Put a tracking link for your event in the message to see the ticket sales the email produced, not only the clicks.
If something goes wrong
You see "Add your mailing address in Settings first. It is required in marketing email."
An owner or admin needs to click Settings, fill in Mailing address under Company profile, and press Save profile. The Preview also stays hidden until the address is saved.
Send now is gray and cannot be pressed.
Tick the confirmation box first. The button also stays gray when the audience has no subscribed contacts, or when the mailing address is missing.
You see "This campaign is already sending or has been sent."
Someone already pressed Send now. Reload the page to see the results. To send a follow-up, create a new campaign.
The status shows FAILED, or the Failed figure is above zero.
FAILED means no email in the campaign could be sent. A few failures among many usually mean bad addresses. If everything failed, or "The test email could not be sent." appears, contact Ticket-Worx support.
